This Privacy Policy explains how QOS collects, uses, shares and protects personal data when a person visits the website, sends an enquiry or books a concierge service. It applies to website visitors, customers, guests and other people whose information is supplied for a booking.

Who controls your data

QOS Premium Concierge Services L.L.C, a Dubai Mainland company licensed by the Dubai Department of Economy and Tourism under Trade Licence 1652208, controls the personal data described in this Policy. Data we collect

1. Identity data such as name, nationality, date of birth and copies of identification where a provider requires them.
2. Contact data such as email address, telephone number, WhatsApp details and preferred communication method.
3. Booking data such as travel dates, guest details, preferences, requested services, itineraries and special instructions.
4. Membership data such as plan type, membership status, benefits used, renewal preferences and service history where membership plans are offered.
5. Payment and transaction data such as amounts, currency, payment status and limited payment references. Full card details are normally handled by the relevant payment provider.
6. Eligibility and compliance data such as driving licence details, visa information, sanctions screening results and source of funds information where reasonably required.
7. Communications including enquiries, feedback, complaints and messages exchanged by email, website forms or WhatsApp.
8. Technical data such as IP address, browser type, device data, website activity and essential cookie information collected through hosting and security systems.

Please do not provide sensitive personal data unless it is necessary for a requested service. Health, dietary, accessibility or security information will be handled only where needed to fulfil the request, protect a person’s vital interests, comply with law or with valid consent.

How we use personal data

1. Respond to enquiries and prepare quotations.
2. Arrange, confirm, manage and support bookings.
3. Administer memberships, benefits, renewals and member support where membership plans are offered.
4. Verify identity, eligibility and payment and prevent fraud or misuse.
5. Share booking instructions with the selected independent provider.
6. Process payments, refunds and accounting records.
7. Provide customer support and resolve complaints.
8. Maintain website security, service quality and business records.
9. Comply with legal, regulatory, tax, insurance and law enforcement requirements.
10. Send promotional and service marketing by email or WhatsApp where permitted and subject to the recipient’s right to opt out.

Legal grounds

Depending on the circumstances, QOS processes personal data because it is necessary to take steps requested before a booking, perform a contract, comply with a legal obligation, protect legitimate business or security interests, protect a person’s interests, or because the person has given valid consent. Consent may be withdrawn where consent is the applicable basis, without affecting earlier lawful processing.

Independent providers and other recipients

QOS may share only the data reasonably necessary with vehicle rental companies, yacht and aviation operators, accommodation providers, venues, event organisers, chefs, security companies, wellness providers and other suppliers selected for the booking.

QOS uses Vercel to host the website, Google Workspace to provide business email, WhatsApp Business for customer messaging, Mashreq Bank to provide payment links and Rain Exchange to process cryptocurrency payments. These providers may process technical, account, communications, identity, compliance and transaction data needed to deliver their services. QOS may also use card-payment providers, accounting, customer management, IT security and professional advisory providers. Public authorities, regulators, courts, banks or insurers may receive information where required by law or reasonably necessary to establish, exercise or defend legal rights.

Independent providers may act as separate controllers of the information they receive and may issue their own privacy notices. Their processing is governed by their notices and applicable law.

International transfers

Some bookings and service providers may be outside the UAE, and technology or communications providers may process information in other countries. QOS will use reasonable contractual, organisational or legal safeguards required by applicable UAE law. By requesting an international service, the customer understands that necessary booking data must be sent to the relevant destination and provider.

Cookies Google Analytics and website technology

The website is hosted by Vercel and uses Google Analytics to understand visits, traffic sources, devices and interaction with website pages. Vercel and Google may process technical identifiers, cookie data, IP-derived location and usage information in accordance with their own privacy terms. Where consent is required, analytics cookies will not be activated before consent. The website may also use essential cookies needed for security, preferences and operation. Browser settings can block cookies, but doing so may affect website functions.

How long we keep data

QOS retains personal data only as long as reasonably necessary for the purpose collected, including booking support, accounting, tax, dispute, fraud prevention and regulatory requirements. Enquiry records that do not lead to a booking are normally deleted or anonymised within 24 months. Core booking, payment and accounting records may be retained for up to seven years or longer where law, a dispute or a competent authority requires it. Copies of identification should be removed earlier when no longer necessary.

Security

QOS uses reasonable technical and organisational measures to protect personal data against unauthorised access, alteration, disclosure, loss or destruction. No website, email or internet transmission is completely secure. Customers should avoid sending unnecessary identification or payment information through unsecured channels.

Your rights

Subject to applicable UAE law and lawful exceptions, a person may request information about processing, access personal data, correct inaccurate data, request deletion or restriction, object to certain processing, withdraw consent, or request transfer of data where applicable. QOS may verify identity before acting and may retain information where required by law or necessary for legal claims.

Requests should be sent to info@qosconcierge.com. QOS will respond within the period required by applicable law. A person may also raise a complaint with the competent UAE data protection or consumer authority.

Children

The website is not directed to children. A parent, guardian or authorised adult must provide any information needed for a minor’s booking. QOS does not knowingly collect a child’s data for independent marketing.

Third party links and communications

The website may link to provider websites, social media services, WhatsApp or payment pages. Those parties operate their own services and privacy practices. Customers should review the notice shown by the relevant third party.

Policy updates

QOS may update this Policy to reflect changes in services, technology or law. The current version will be identified by its effective date. Material changes will be highlighted where appropriate.
